The PhD courses at the Graduate School are free of charge for:

  • PhD students enrolled at Danish Universities, except CBS
  • Foreign PhD students who are guests at a department at the Faculty of Health and Medical Sciences; remember to inform the Graduate School of your status as a guest PhD student.
  • PhD students from NorDoc member faculties. Please read more about it here.

The Graduate School will require invoice details when you apply for a PhD course. This is to ensure payment for late cancellations, no shows and external participants.

Please register before September 14th 2025.

Seats to PhD students from other Danish universities will be allocated on a first-come, first-served basis and according to the applicable rules (internal deadline August 18th, 2025).

Applications from other participants will be considered after the last day of enrolment.

Please Note: All applicants are asked to submit invoice details in case of no-show, late cancellation or obligation to pay the course fee (typically non-PhD students). If you are a PhD student, your participation in the course must be in agreement with your principal supervisor.

The registration includes:

  • Full access to the entire conference programme and poster exhibition
  • Accommodation in a single room at Konventum 7-9t of October 2025*
  • Breakfast 8-9th of October
  • Coffee breaks 8-9th of December
  • Lunch 7-9th of October
  • Dinner at Konventum 7-8th of December
  • Social event trip on 8th of October

OBS! Accommodation in a single room at Konventum from 7-9 October 2025 is included.

Course and Cancellation Policy

Many of our courses are in high demand. We therefore advise you to cancel your registration in the course catalogue as soon as possible, if you are no longer interested in the course This will enable others to register for the course as well as prevent you from being charged the cancellation fee due to no-show. 

Also, please make sure to cancel your place on the waiting list if you are no longer interested in participating in the course. If you are on the waiting list, you can be allocated a place, if a place becomes available, up until 1 day before the course start. If you are allocated a place, you will receive notification by e-mail.

You cannot participate in the same course twice and cannot get ECTS for the same course twice. Therefore, if you are registered in the same course twice, please remember to cancel one of your registrations, or else you will be charged for one of the courses.

  • Cancellations made up to two weeks before the course starts are free of charge.
  • Cancellations made less than two weeks before the course starts will be charged an amount corresponding to the course fee for external participants.
  • Participants with less than 80% attendance cannot pass the course and will be charged an amount equal to the course fee for external participants.
  • No-show will result in a fee equal to the course fee for external participants.
  • Participants who fail to hand in any mandatory exams or assignments cannot pass the course and will be charged an amount equal to the course fee for external participants.

If the participant does not comply with the above cancellation policy or has not attended the course due to illness or other reasons, the Graduate School may waive the course fee. 

Cancellation & Refunds
Cancellation of registration must be notified in writing to CAP Partner at psj@cap-partner.eu 

Refund of registration fees will be granted as follows:

Cancellations postmarked before and on 29 September 2025 will be refunded deducting an administration fee of 250 DKK.

After 30 September 2025, registration fees are non-refundable. No refunds will be granted in case of no show.

Payment & VAT Terms
Payment is possible by invoice (bank transfer), credit card (Master or VISA), or EAN invoicing. 

It is your responsibility to forward the invoice to the correct place for immediate payment and you must ensure that the correct VAT number and invoice address are entered during the process.

Registration fees will be charged in DKK (VAT exempt).

Disclaimer
In case the conference is cancelled for reasons beyond the control of the organiser, the fees will be refunded after expenses incurred by the meeting, have been deducted.

CAP Partner has been appointed the official secretariat for the conference. CAP Partner will collect and store all personal data through the online registration form and will be treated by CAP Partner only for organisational purposes, in particular for matters in relation to the preparation and execution of the conference, hereunder registration and information about the conference.

 

We encourage you to share pictures and experiences from the course – both in person and on social media, but please show conideration for the people in your photographs when you share them.

Please note that photos will also be taken during the conference for use on the GSI social media. If you identify yourself in a specific picture or video after the conference and you do not wish it to appear on the website or social media, please contact the conference directors and we will delete the picture.
